How to Choose an Event Management Company in Kolkata

Search for event management companies in Kolkata and you will find hundreds of names with similar photographs. The differences show up on the day of the event. These are the seven questions we would ask if we were hiring one, and the answers to look for.

1. Do you own the equipment, or hire it in?

Many event companies are coordinators: they book sound from one vendor, LED from another and the stage from a third. That can work, but when something fails at 9 p.m. the person you are speaking to does not own the spare.

Ask for an inventory list and where it is kept. A company that owns its sound, lighting, LED walls and staging can show you the warehouse. Ours is in Tangra, and the full inventory is published.

2. Who builds the set?

Stages, arches, 3D letters and exhibition stalls are carpentry. If fabrication is outsourced, every design change becomes a new negotiation with a workshop you have never met. Ask whether the company has its own workshop and whether you can see work in progress.

3. Will I see the stage before it is built?

A 3D drawing of the stage in your actual hall settles most arguments before they start: where the logo sits, how wide the LED wall is, where the award is handed over. If a company cannot show you a 3D preview, you are approving the design on the morning of the event.

4. Who will be on the floor on the day?

Ask for names. The person who took your brief should be at the venue, with a sound engineer, a lighting operator, an LED operator and a show caller who runs the cue sheet. Ask who has the authority to solve a problem without calling the office.

5. Have you done an event of this size and type?

A company that is excellent at weddings may never have run a multi-hall conference, and the reverse. Ask for one or two examples close to your own event and read them closely. 6. What exactly is in the quotation?

Compare quotations line by line, not by the total. A complete quotation lists:

• Equipment by item and quantity: speakers, microphones, LED wall size in square feet, lights, truss in running feet.
• Stage and set: size, height and finish.
• Crew: operators, riggers and the hours they are on site.
• Transport, set-up and dismantling.
• What is not included: venue power or a generator, venue charges for early access, and any permissions.

7. Can you hold my date?

Kolkata’s event season runs from October to February: the festive weeks around Durga Puja, year-end conferences and award nights, then the wedding months. Good equipment and good crews are booked early in that period. Ask how far ahead the company is taking bookings, and confirm your date in writing.

Kolkata-specific things to check

• Load-in time. Goods vehicles face time restrictions on many city roads, so equipment often has to reach the venue at night. Ask the venue when the hall is handed over.
• Ceiling height. Many hotel ballrooms limit the stage and LED wall to about 10 ft. A site visit before the design saves a redesign.
• Power. Large LED walls and lighting rigs need a dedicated supply. Find out what the venue provides and whether a generator is needed.
• Open grounds. Outdoor events need permissions from the local authorities. Agree at the start who applies for them.
