LED Wall Rental in Kolkata: Sizes, Pixel Pitch and Cost

By the Solutions Events team ·

An LED wall is usually the biggest single line in an event’s AV budget, and the one most often ordered in the wrong size. This guide explains how rental is priced, how to choose between P2 and P3, and how to size a wall for your hall.

How LED wall rental is priced

LED walls are rented by area. You multiply the width by the height in feet to get the square footage, and the rate is charged per square foot, per day. A wall 16 ft wide and 9 ft high is 144 sq ft.

Our published rates are ₹150 per sq ft per day for P2 indoor panels and ₹130 per sq ft per day for P3 indoor and P3 outdoor panels. There is a minimum charge of ₹8,000 per wall per day, so very small walls are billed at the minimum. On the 144 sq ft example, a P3 wall is ₹18,720 a day and a P2 wall is ₹21,600 a day.

For bookings of more than one day we take 5% off for each extra day, up to 25% in total. These are estimate rates. The final quotation depends on the venue, rigging and availability, and is sent for your approval before anything is confirmed.

P2 or P3: which do you need?

The number is the pixel pitch, the distance in millimetres between two pixels. A smaller number means more pixels in the same area and a sharper picture up close.

  • P2 suits boardrooms, small conference halls, press backdrops and any set where the front row or a camera is within three to four metres of the wall.
  • P3 suits ballrooms, large conferences, award nights and dealer meets where most of the audience is five metres or more away. At that distance the difference from P2 is hard to see.
  • P3 outdoor panels are brighter and weather-protected, for open-air stages, concerts and exhibitions.

How to size the wall for your hall

Start with the furthest seat. As a working rule, the last row should be no further than about six to eight times the height of the screen if people need to read slides. A 9 ft high wall works for a hall roughly 55 to 70 ft deep.

Then check the ceiling. The wall sits on a stage or a ground-support frame, so the stage height plus the wall height must clear the ceiling, chandeliers and any air-conditioning ducts. In many hotel ballrooms this limits the wall to about 10 ft.

Finally, match the shape to your content. Presentations are 16:9. A 16 × 9 ft or 20 × 11 ft wall shows slides without black bars. Wide panoramic walls look impressive but need content designed for them.

What else to budget for

  • Switcher and playback. A seamless switcher (₹3,500 a day in our rate chart) lets you cut between laptops, cameras and video without a blank screen.
  • Structure and rigging. Truss or ground support to hold the wall, charged per running foot.
  • Stage. Charged per square foot depending on height.
  • Power. Large walls need a dedicated supply. Ask the venue early, or budget for a generator.
  • Content. A wall is only as good as what plays on it. Ask for the exact pixel resolution before your designer starts.

Questions to ask any LED vendor

  • Do you own the panels, or are they hired in from someone else?
  • Are all panels from the same batch, so colours match across the wall?
  • How many spare panels and power supplies come to the venue?
  • Who operates the wall during the event, and are they there from rehearsal to pack-up?

We own more than 4,800 sq ft of LED and carry spares to every show. See the full inventory, or send us the brief for a quotation.
